Why Every Pool Pro Needs a Chemical Log (It's Not Just Liability)
A written chemical log protects you when a customer's water turns green — and it makes you faster, more consistent, and easier to trust. Here's what to track and why.
Sooner or later, a customer calls about green water and asks what you've been doing all month. If your answer is "trust me, I balanced it," you're in a weak spot. If your answer is a dated log of every reading and every dose, the conversation is over before it starts.
A chemical log isn't paperwork for its own sake. It does three jobs.
1. It protects you
When water goes off, the question is always "what changed?" A per-pool record of your readings (FC, pH, TA, CYA) and exactly what you added, with dates, is your proof of service. It turns a he-said-she-said into a documented history — and it's the first thing that defuses a liability complaint.
2. It makes you consistent
Chemistry drifts differently at every pool — sun exposure, bather load, refill water, a leaking heater. When last visit's numbers are in front of you, you dose for this pool's trend instead of guessing from scratch each week. Fewer surprises, fewer callbacks.
3. It makes you trustworthy
A customer who can see a clean record of their water — or get a quick summary when they ask — renews without thinking about it. The log is quiet proof that you're doing the work, every week, whether or not they're watching.
What to capture each visit
- The core readings: free chlorine, pH, total alkalinity, cyanuric acid (and salt, if applicable)
- What you added and how much
- A photo of the pool — clear water on the record is its own proof
- Anything off: equipment noises, low water, debris load
Doing this on a clipboard works until the clipboard gets wet or lost. Per-pool digital logging keeps the history in one place, ties it to the customer, and is searchable when you need it.
PoolPros Smart CRM keeps a chemical log with full dosage history on every pool, so you always have the record — and the proof.
